Whether you’re doing regular webinars or spontaneous ones, they can be a great way to train prospects or customers and answer any of their potential questions. Webinars are also a great way to educate prospects on your product or services, leading to more sales. You can have a great webinar idea and even promote it well but if you’re doing consistent webinars, chances are you’ve seen some of them flop.

Why hold a webinar?

Before we dig into the best ways to setup and promote your webinar, it’s important to know the purpose of your webinar. Typically, webinars are educational and they help your customers or prospects know more about your product or services.

The goal of a webinar can simply be to nurture your customers through education (which helps with retention and, in turn, saves you money). Another goal could also be to sell your products or services through education. Webinars are a great way to answer any questions from your customers or prospects. It saves you from having to answer people individually as well. The goal is to reduce the questions people have, and even the doubts that they might have about your product.

Send Strategic Emails to Gain More Webinar Registrants & Customers

So once you’ve nailed down a webinar topic, date, time and all the other details, it’s time to strategically think through emails.

Webinar Announcement Email

Start by creating an email to announce your webinar to your sphere. We suggest sending your first announcement email one week out. If you’re really wanting to impress your recipients and connect with them, include a video in your email. Explain the webinar and what people can expect to get out of it. Tell people about the value that you’ll be providing. Include the date and time.

Don’t forget to include details in the text of the email as well, for those who would rather skim text really quick. If you plan to share the webinar recording, let people know that in your email. One of our most frequently asked questions around webinars is “Will there be a recording I can watch later? I am busy during the webinar time.” – so make sure to address this. If you plan to do the same webinar again at a different date or time, you can also inform your database about this.

Thank You Email

As you set up your webinar, it’s important to plan out a “Thank you for registering” video that will go out to everyone who registers. This shows your appreciation. If you expect a large turnout, you may want to plan an easy way to get this email to everyone. When using a service like Zoom, you’ll have a list of everyone who registers for the webinar. If you plan to have a smaller turnout for the webinar (30 people or less), we suggest sending personal one-to-one videos to each person who registers. Record a quick BombBomb video on your phone or on your computer. Address them by name! It doesn’t need to be more than 15 seconds.

Webinar Reminder Email

Once you’re closer to the day of the webinar, you should send a reminder email to your recipients. We suggest pulling the list people who have already registered for the webinar and excluding them from this send.

Similar to your first email send, make sure to include the webinar details in the text of the email as well. You can keep this email pretty simple and straight to the point.

Webinar Follow Up Email

After the webinar has finished, send out an email that addresses a few different things. You can simply thank everyone for attending with another thank you video. You could re-answer any major questions that came up and share any resources that you couldn’t share during the webinar. You could also send out the webinar recording to all the attendees.

If you host your webinar in Zoom, there is an option to have the webinar recorded and saved. Make sure to select that option when creating your webinar. The recording is great for people who couldn’t attend, could only attend part of the webinar, or for people who wanted to rewatch a certain part of the webinar.

Utilize Social Media to Spread the Word About Your Webinar

Facebook, Instagram and LinkedIn
Once you’re about one week out from your webinar, it’s time to get the word out on your social media channels. We suggest recording a more professional promo video for Facebook and LinkedIn. You can use your desktop camera and make sure the lighting is good!

Utilize a platform such as Canva to create a graphic for your webinar as well. By using both a video and a graphic, you can post a few times on Facebook or Instagram leading up to the webinar. Don’t forget to promote the webinar on your Instagram Story as well. Do a quick phone video explaining the webinar and invite your followers to join. Throw the webinar link in your Instagram bio so it’s easy for people to grab.

If you have specific people you want to invite but you don’t have their email, send them a one-to-one video in LinkedIn Messages or Facebook Messenger. Make sure to include the webinar link.

Facebook Ads
If you are Facebook Savvy, we suggest doing a Facebook ad around your webinar as well. You could also just boost your Facebook post about the webinar. We recommend putting around $15-30 behind your ad or boosted post per day – unless you have a larger budget for this. Try to target people in your area who would be interested in your product or services.

YouTube
If this is a webinar that is relevant to people outside your database, you can also upload the recording to YouTube. Make sure to title the video something that people would google or search. Keep an eye on the video and respond to any comments you get.

Keep Your Website Updated with Webinar Info

If you do regular webinars, keep you webpage updated with upcoming webinar details. Similar to the emails, you can use a graphic or promo video, and provide text with general details as well as the date and time. Include a link to where people can register. If your videos are available on youtube, include a link where people can watch your past webinars. Pro Tip: Embedding videos from YouTube onto your website helps your SEO!

Determine Your Call-to-Action for the Webinar

One last key to making sure you get the most out of your webinars is to end it with a call-to-action. This is a CTA that you’ll mention at the end of the webinar and in the emails you send out after the webinar. Think through what action you want the webinar viewers to take. This might look different depending on who you’re speaking to.

If you’re offering a new service or product and the webinar is based around that, you’ll want a CTA that encourages the webinar attendees to purchase or consider the product/service. For instance, here’s a CTA we used after a recent webinar:

“Thank you so much for learning about our new Inbox application and for being a BombBomb customer. If you haven’t already, please follow the links in the chat to download our new Inbox app.”

If your webinar was geared towards people who are not yet using your services or product, the CTA may simply ask for signups or purchases. Also keep in mind that the CTA can be for referrals. If you are educating current customers, simply ask them to pass the information along to anyone who’d be interested.

Personally Interact with Your Registrants Before & After the Webinar

People will be more likely to attend your webinars when you connect with them. If you get any emails around the webinar or comments on your webinar promotion posts, make sure to personally respond. Answer any of their questions and let them know that you are excited for them to attend the webinar. If you get feedback after the webinar, thank people and show your appreciation.

Your prospects and customers want to work with someone they know, like and trust. Before your webinar, during your webinar and after your webinar, think through how you can help people get you know you better. Show off your personality.
